I think a google spreadsheet would work that only you and selected others can edit. It would be a lot of work to recreate all those posts, google doc would be easier I think :)

If only selected people could edit it, wouldn't that get rid of the idea of not having to ping someone in order to have information added? Just throwing that out there. You should do whatever is easier for you.

Before deleting all your posts, you should do a mock up spreadsheet and see what you like the look of better. I'm not sure if you can put banners in the spreadsheets, and a lot of people are visual buyers.

But seeing as it is a massive undertaking, it should be works the best for you. ;)

I am way behind the times with spreadsheets, lol. I worked with them years ago. Those sound like good ideas. :) And easy for you to manage.
